This policy explains how AlwaysReady collects, uses and protects your personal data when you use our marketing website (alwaysready.uk) or our inspection readiness platform (portal.alwaysready.uk).
1. Who we are
AlwaysReady is a brand of Parker Digital & Print Services, based at 82A James Carter Road, Mildenhall, IP28 7DE. We provide CQC inspection readiness tools for adult social care managers in the UK.

Where our platform stores and processes personal data on behalf of your organisation, Parker Digital & Print Services also acts as a data processor. A Data Processing Agreement (DPA) governing this relationship is available on request.
2. Part A — Marketing website (alwaysready.uk)
What we collect and why
We collect name, work email, organisation name, CQC Location ID, service type and marketing consent when you:
- Start a free trial via our website
- Subscribe to our blog or newsletter
- Make an enquiry via our Contact form
- Join our waitlist
Legal basis: Performance of a contract (Article 6(1)(b) UK GDPR) for delivering resources and trial access; Consent (Article 6(1)(a)) for marketing communications.
How we store it
Form data submitted via our website is processed by Netlify Forms (held for up to 30 days, then deleted from Netlify) and transferred to our secure database hosted on Supabase as a contact or lead record.
3. Part B — AlwaysReady Platform (portal.alwaysready.uk)
This section applies to organisations and individuals who use the AlwaysReady inspection readiness platform.
What we collect and why
When your organisation uses the platform, we collect and store the following categories of data:
Account and identity data: Organisation name and CQC Location ID; CQC rating and inspection history (fetched automatically from the public CQC API at signup); Admin account: full name, email address, role; Team member accounts: full name, username, role; Visitor accounts: full name, email address, access expiry date.
Compliance and operational data: KLOE framework responses, evidence notes, ratings and action items entered by your team; documents and files uploaded as evidence; sub-service configurations; audit trail entries recording changes to compliance records.
HR and workforce data: Staff profiles (name, job title, contract type); training records and certifications; holiday and absence records.
Support and communication data: Support tickets submitted through the platform or by email; replies and correspondence relating to support requests.
Legal acceptance data: Timestamp and version reference of the Terms & Conditions accepted at trial signup.
Billing data: Subscription status and billing history (managed by Stripe; we do not store card details).
Legal basis: Performance of a contract (Article 6(1)(b) UK GDPR) — processing is necessary to deliver the platform services your organisation has subscribed to.
How we use this data
We use the data above solely to provide, maintain and improve the AlwaysReady platform; enable your team to track and manage CQC compliance; send transactional communications; respond to support requests; and generate AI-assisted newsletter draft text when requested by the organisation admin. We do not use platform data for marketing purposes. We never sell your data.
AI newsletter drafting tool
The platform includes an AI-assisted newsletter drafting tool available to organisation admins. When used, the content of your newsletter prompt is processed by Anthropic's Claude API to generate a draft. We do not send newsletters on your behalf — the draft is for you to copy, edit and send through your own preferred channel.
Important: do not enter personal details of residents, patients, families or individual staff members into the newsletter tool. The tool is for generating general compliance communications only. The Anthropic API is not used to train AI models on your data. See anthropic.com/privacy for Anthropic's privacy policy.
Data you enter on behalf of others
Your organisation may enter personal data relating to your staff members. Your organisation is the data controller for this data. AlwaysReady processes it solely on your instructions as a data processor. A Data Processing Agreement is available on request.

All data transfers outside the UK are protected by appropriate safeguards including UK adequacy decisions, standard contractual clauses, or the UK International Data Transfer Agreement (IDTA).
5. Data retention

6. Data export
You can download a full export of your organisation's compliance data and evidence files at any time from within the platform (Account → Organisation → Export your data). This export is available throughout your subscription and during the 30-day post-cancellation period.
7. How to unsubscribe from marketing
Click the unsubscribe link in any marketing email, or email support@alwaysready.uk. We will act within 5 working days. Unsubscribing from marketing does not affect transactional emails related to your account or subscription.
8. Your rights under UK GDPR
You have the right to access, correct, delete, restrict or port your data, to object to processing, and to withdraw consent at any time. To exercise any right, contact support@alwaysready.uk. We will respond within one calendar month. If you are unsatisfied with our response, you may complain to the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113.

Third-party services
- Google Analytics (GA4) measures website traffic and visitor behaviour — which pages are visited, how long visitors stay, and how they arrived. Data is processed by Google and governed by Google's Privacy Policy. No personally identifiable information is sent to Google.
- Netlify hosts the website and processes form submissions. May set session cookies for security.
- Supabase stores form submission data and powers the AlwaysReady platform. May set session cookies within the platform.
- Stripe processes subscription payments. May set cookies related to payment security.
Managing cookies
You can manage or disable cookies through your browser settings at any time. Disabling analytics cookies will not affect your ability to use the site. Blocking all cookies may affect the ability to submit forms.

2. Acceptance
By using our website or platform you agree to these terms together with our Privacy Policy, Cookie Policy and Acceptable Use Policy. If you do not agree, please do not use our website or services. By starting a free trial, you confirm that you have read and accepted these Terms and Conditions. The date and version of your acceptance is recorded on your account.
3. Permitted use
You may use our website and platform for lawful purposes only. You must not attempt to gain unauthorised access, transmit unsolicited communications, or damage or disrupt the website, platform or its infrastructure. See our Acceptable Use Policy for full details.
4. Free resources
Free resources and tools provided by AlwaysReady are for your own internal professional use only. You may not reproduce, distribute or commercially exploit them without written permission.
5. Free trial
We offer a 14-day free trial of the AlwaysReady platform. No payment details are required to start a trial. At the end of your trial period, your account will remain accessible but features may be restricted until a subscription is activated. We will not charge you automatically at the end of a trial. Trial accounts are subject to these Terms and Conditions, including the Acceptable Use Policy.
6. Subscriptions
AlwaysReady subscriptions are offered on a monthly Pay As You Go basis. Subscriptions are processed and managed through Stripe. You agree to Stripe's terms in addition to these terms. AlwaysReady does not process or store card details directly. Your subscription renews automatically each month unless cancelled. You may cancel at any time through the platform (Account → Billing → Cancel my subscription) or by emailing support@alwaysready.uk. See our Cancellation Policy for full details.
Charity discount: Registered charities may be eligible for a reduced subscription rate. Contact support@alwaysready.uk with your registered charity number to apply. We reserve the right to request evidence of charitable status before applying any discount.
7. Platform access and user accounts
Organisation accounts — The organisation admin is responsible for all activity under the organisation account, including activity by team members and visitor accounts they create.
Team members — Admins may invite team members to the platform. Team members have access within the role permissions assigned by the admin (Admin, User or Viewer).
Visitor accounts — Admins may create time-limited read-only visitor accounts for CQC inspectors, board members or other authorised external parties. Visitor access expires automatically on the date set by the admin.
Account security — You are responsible for maintaining the confidentiality of your login credentials. Notify us immediately at support@alwaysready.uk if you suspect any unauthorised access to your account.
8. Data and your responsibilities
Your organisation is the data controller for the personal data of your staff members and any other individuals whose data you enter into the platform. AlwaysReady processes this data on your instructions as a data processor. You are responsible for ensuring you have a lawful basis to enter personal data into the platform, ensuring relevant individuals have been informed, and maintaining the accuracy of data entered. A Data Processing Agreement is available on request at support@alwaysready.uk.
9. Data export
You may export your organisation's compliance data and evidence files at any time from within the platform (Account → Organisation → Export your data). We encourage you to take regular exports as part of your own data governance practices.
10. AI-assisted features
The platform includes an AI-assisted newsletter drafting tool available to organisation admins. Drafts are generated using Anthropic's Claude API. By using this feature you agree that you will not enter personal details of residents, patients, families or individual staff members into the drafting tool; all AI-generated output is a draft only and you are solely responsible for reviewing it before use; and AI-generated content may contain inaccuracies and should not be published without review. AlwaysReady is not liable for any losses or claims arising from the use of AI-generated draft content.
11. Service availability
We aim to maintain platform availability at all times but do not guarantee uninterrupted access. Planned maintenance will be communicated where reasonably practicable. We are not liable for losses arising from temporary unavailability of the platform.
12. CQC data
At signup, we automatically retrieve publicly available information about your organisation from the CQC's public register, including your current CQC rating and inspection history. This data is sourced from the official CQC API and displayed within your dashboard for reference purposes. It does not constitute official CQC guidance.
13. Intellectual property
All content on this website and within our platform — including KLOE frameworks, evidence mappings, checklists, dashboard structures, guides and branding — is the intellectual property of AlwaysReady (Parker Digital & Print Services) unless otherwise stated. Data your organisation enters into the platform remains your organisation's property at all times.
14. Disclaimer and limitation of liability
Our tools are provided for guidance and self-assessment purposes only. We make no warranties as to their completeness, accuracy or fitness for any particular purpose. To the fullest extent permitted by law, AlwaysReady shall not be liable for indirect, consequential or special losses, or any losses arising from reliance on our tools or any CQC inspection outcome.
Readiness scores and RAG status are calculated entirely from information your team enters into the platform. They are self-assessment indicators and are not the result of an independent audit. They do not predict, guarantee or influence any CQC inspection rating.
Inspection packs generated by the platform are a self-compiled summary of the records your organisation has entered. They are not a certification of compliance, an audit report or an independent assessment of inspection readiness. Your organisation is solely responsible for the accuracy and completeness of information entered into the platform.
AlwaysReady does not guarantee any particular CQC inspection outcome. CQC ratings depend on a wide range of factors outside our knowledge or control.
15. Changes to these terms
We may update these terms from time to time. We will notify active subscribers of any material changes by email with at least 14 days' notice. Continued use of the platform after that date constitutes acceptance of the updated terms.
16. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Permitted uses
- Conducting internal CQC compliance self-assessments for your own service
- Tracking evidence, governance activity and action items across CQC domains
- Preparing for CQC inspections and maintaining inspection readiness
- Sharing compliance data internally with your management team and governance leads
- Using the AI newsletter drafting tool to generate general compliance communications for your organisation
Prohibited uses
- Misrepresentation: entering false or fabricated compliance data, or using outputs to misrepresent your service's compliance status to CQC or any other party
- Unauthorised access: sharing login credentials outside your organisation, or accessing another organisation's account without explicit authorisation
- Commercial misuse: reselling, sublicensing or redistributing access without written permission; using AlwaysReady to provide compliance consultancy to third parties without a written agreement
- Technical misuse: reverse-engineering the platform, using bots or scraping tools, attempting to circumvent security controls, or introducing malware
- Regulatory misuse: representing AlwaysReady as an official CQC tool, or implying that use of our tools guarantees a particular inspection outcome
- AI tool misuse: entering personal details of residents, patients, families or individual staff members into the AI newsletter drafting tool; using AI-generated content without review; or publishing AI-generated content that misrepresents your organisation's compliance position
Consequences of breach
We reserve the right to suspend or terminate your account immediately if we reasonably believe you have breached this policy. We may also take legal action where a breach causes loss or damage.
Cancellation Policy

AlwaysReady subscriptions are Pay As You Go with no lock-in and no cancellation fees.
How subscriptions work
Subscriptions are billed monthly in advance through Stripe. You pay at the start of each billing period and access continues until the end of that period.
How to cancel
Cancel at any time directly from within the platform: Account → Billing → Cancel my subscription. This opens the Stripe Customer Portal where you can cancel immediately. You can also email support@alwaysready.uk and we will confirm your cancellation within 2 working days.
What happens after you cancel

Exporting your data
We strongly recommend downloading your data before cancelling. You can export all your compliance records and evidence files at any time from Account → Organisation → Export your data. Two exports are available: one for all your records and data as CSV files, and one for all uploaded evidence files as a ZIP archive.
Refunds
We do not offer pro-rata refunds for partial months. If you believe a payment has been taken in error, contact support@alwaysready.uk and we will review it on a case-by-case basis.
Free trial
The 14-day free trial requires no payment details and ends automatically. If you do not activate a subscription at the end of your trial, your account will be deactivated and your data will be retained for 30 days before permanent deletion.
